Reconcile the debt, objections and delivery records before a trade-debt demand.

Establish what was agreed, what was delivered and which condition made payment due. An invoice belongs in a wider file with orders, acceptance and communications, distinguishing overdue debt from genuinely disputed amounts.
Record each invoice, delivery date, due date, amount paid and balance. Show credit notes, retention and deductions separately so the total can be traced.
Preserve reasons given: incomplete work, quality complaints, missing documents or a request for more time. Each requires different evidence. Proof that an invoice was sent may not answer a delivery dispute.
Before a demand, check the counterparty, contractual address, payment terms, notice requirements and supported balance. Do not add a criminal allegation merely to pressure payment without assessing its basis.
